This privacy policy applies to the processing of personal data of users of the website www.unl.pt of NOVA University Lisbon (NOVA).
Who we are
Personal data will be processed by NOVA, legal entity nr. 501559094, based in Campolide Campus, 1099-085 Lisbon.
NOVA is responsible for the processing of personal data it carries out in the sense that such expressions are defined and used in personal data protection legislation.
What are the purposes of personal data processing?
NOVA processes personal data for the following purposes:
- Disseminate relevant information to website users, including institutional content, informational materials, brochures, events, particularly through newsletters;
- Receive, analyse and respond to compliments, suggestions and complaints;
- Receive and respond to requests for information regarding the organisation of events (Rectorate’s Auditorium event rentals)
- Receive, analyse and respond to user contacts;
- Organise and manage registrations and participation in promoted events by NOVA;
- Manage and process course applications.
What is the legal basis for the processing of personal data?
The processing of personal data carried out by NOVA is based on the following legal grounds:
- The legitimate interests pursued by NOVA or by third parties, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require the protection of personal data;
- The performance of a contract to which the data subject is a party, or in order to take pre‑contractual steps at the request of the data subject;
- Compliance with NOVA’s legal obligations;
- The public interest pursued by NOVA.
Where none of the remaining legal bases are suitable to support the data processing operation, NOVA will only process personal data if it has obtained the data subject’s consent to process their personal data for specific, explicit, and legitimate purposes.

Who does NOVA share personal data with?
In the course of its activity, NOVA shares your personal data to subcontractors, other data controllers and joint controllers. Among these entities are the following:
- Technology and web hosting service providers – To ensure the website’s operation, development, maintenance, and security, ensuring its operational capability and protection against cibersecurity incidents.
- Organizing entities and event, academic, and scientific partners – For event registration management and participation in events organized and promoted by NOVA, or in partnership with other institutions.
- Educational institutions and other partners– For the management and processing of course applications;
- Competent authorities – Whenever required by law or regulation, namely for the compliance with legal obligations relating to data protection, digital accessibility and information security.
Does NOVA share personal data outside the EEA?
NOVA can transfer personal data with countries outside the European Economic Area (EEA), being carried out in accordance with the General Data Protection Regulation. If the destination countries do not offer an equivalent level of protection as the European Union, NOVA ensures the adoption of adequate safeguards, such as the verification of the existence of a decision of adequation by the European Comission or, in its absense, the signing of standard clauses, approved by the Comission.

For how long does NOVA keep personal data?
NOVA maintains personal data for the necessary time period to fulfill the purposes for which they were collected. To this end, a retention schedule has been defined, indicating the time limits applicable to each purpose. What are the rights of data subjects?
The data subject can, at any time,exercise a set of rights, under the terms and conditions provided for by law. These rights include the right to object, which is often exercised in relation to certain types of communications, as well as other rights such as the right of access, the right to erasure, the right to restriction of processing and the right to rectification. Aditionally, the data subject has the right of withdrawing consent at any time, without it affect the licitness of the treatment carried out on the basis of prior consent.

Privacy Policy Changes
The current privacy note may be updated, so the shareholders will be informed within a reasonable time, once these changes reveal a fundamental change in the nature of the processing, such as a change in the purposes of the processing, a change in the identity of the controller, or an extension of the categories of recipients.
